Chaminade School Policies and Procedures Pertaining to College (PDF Version)

Many colleges will require a transcript as part of the application for admission.  These are the most common questions asked by Chaminade students.

q       Where can I order my transcript?

·         In the Guidance Office from Mrs. Van Leeuwen, Administrative Assistant.

q       How do I order the transcript?

·         Use the transcript request form located at Mrs. Van Leeuwen’s desk.

q       What do I need to know in order to complete the transcript request form?

·         You will need the name and address of each college the transcript is being sent to.

·         You need to know which counselor is writing your college recommendations.

q       How much does each transcript cost?

·         $2.00 at the time you submit the order.

q       How long will it take to get my transcript after I submit the order?

·         Typically 48 hours.

q       Where do I go to order a mid-year transcript?

·         You go to Mrs. Van Leeuwen and repeat the original transcript request process.

Teacher and Counselor Recommendation Requests
Most colleges, outside of the U.C. and C.S.U. systems, require letters of recommendation with the admission application.  In addition to your grades, test scores and essay, colleges use letters of recommendation to gain insight about you as a person. Be sure to choose teachers who know you.  If you do not know them, schedule some time to talk with them.  In most cases the College Counselor will fill out your counselor recommendation.  She will consult with your Guidance Counselor for details as needed.  This is standard procedure and helps to provide a sense of consistency to College Admission Officers.  Here are the steps you should follow in order to make sure your recommendations are completed properly and on time.

§         Request your letters of recommendation at least two weeks in advance of the application deadline.

§         Provide each teacher and counselor with all of the necessary forms at the same time.

§         It is your responsibility to provide the following information at the time of your request:

-A list of the colleges requiring recommendations.

-Application deadlines for each college.

-Double stamped, addressed envelopes for each college.

-The appropriate recommendation form out of the application with the student sections completed.

·         Use the application organizer in the College Applications section of this workbook to keep track of your recommendations.

‘D’ or ‘F’ Grades
Chaminade requires that a semester ‘F’ in any course be made up in summer school before the next academic year begins.  However, every college has its own policy about grades that fall below a ‘C’.  Usually, the private, U.C., and C.S.U. college systems require a grade of ‘C’ or better in all required subjects, clearly indicating that a ‘D’ in these courses should be made up.  The C.S.U. system has been known to overlook a first semester ‘D’ as long as students have a year-end grade of a ‘C’ or better in that class.  It is the student’s responsibility to learn about the academic policies of the colleges they might apply to. 

How Do I See My Counselor or the College Counselor?
Do not just wait to be called in to the Guidance Office by your counselor.  You can sign up to see your counselor anytime!  Counselors have a student appointment sheet on their doors.  You can sign up for a time when the counselor is available; a pass will be sent to your appropriate teacher for the day and time of the meeting.  The process is the same for meeting with the College Counselor.

You should sign up to meet with your Guidance Counselor before you meet with the College Counselor.  Your counselor will go over basic college information with you and ensure that you are on the right track academically for graduation.  Once this essential meeting takes place, you are ready to see the College Counselor for more details about your college search.

College Representative Visits To Chaminade
Each Fall colleges and universities from all over the country send representatives to visit Chaminade students.  These visits are only open to juniors and seniors during the second lunch block.  Students no longer need to sign up in order to attend these visits. Instead, they simply show up at the designated classroom with their lunch. Also, in the spring some colleges will visit again, primarily for the sake of the juniors.  There are a few ways to keep abreast of the dates that colleges are visiting.

ü       Listen to the daily announcements.

ü       Check the College Corner bulletin board outside of the Guidance Office.

ü       Check the Chaminade Web site.

ü       Ask the College Counselor.

College representatives also visit during Chaminade’s College Night each Fall.   Check your school calendar for the date and time of this event.  In years past, we have had about ninety different colleges and universities attend this informative evening.
