The mission of the Management of Information Systems (M.I.S.) department is to provide Chaminade with the latest technologies and to support those technologies. In addition, the M.I.S. department is dedicated to the education of its users, and to the promotion of technology as an integral component of Chaminade's vision. As such, the M.I.S. department will:
- Equitably provide the latest technologies to the entire school community in order to facilitate all educational goals and endeavors of the organization;
- Efficiently and reliably support the multitude of technologies already in place by appropriate staffing, policies, and procedures;
- Educate all teachers and staff in the productive use of implemented technologies to ensure awareness, application, and skill development in a timely and organized manner;
- Actively promote the use of technology as a tool to further Chaminade's vision of educational excellence.
The M.I.S. department mission envisions an electronic network capable of distributing voice, data, and video technology to all Chaminade students whether at home or in school. In this vision, Chaminade students and teachers become users of the global information network with direct access to information and resources around the world. All school technologies are dedicated to improving instruction, to providing electronic access to information, and to enriching communication among the student, faculty, administration, family, and community.
To achieve our technological mission and materialize our vision we are committed to employing all accessible and financially feasible technologies, and to supporting and educating all of our students, teachers and staff.
- Keep your passwords absolutely private. All passwords are confidential. Do not share them with anyone. Report any violations to the Network Manager.
- Try to memorize your passwords. Do not write them on a piece of paper.
- Never give your passwords over the phone or by email.
- Select passwords that are hard to guess consisting of combinations of characters forming words that cannot be found in a dictionary.
- Log out of the network if you are going to leave your workstation unattended.
- Do not leave sensitive or confidential information displayed on the monitor when you are not working on the computer.
- Do not allow students to work on your computer while you are logged in with your name.
- Keep all rooms and offices properly secured at all times.
- Virus check all diskettes before you use them in any way.
- Periodically virus check your local drives.
- Do not open suspicious email attachments. Whenever you send an email attachment to someone, make sure that you mention the existence of the attachment in the main body of text of your email by its filename.
- Do not allow execution of suspicious macros in MS-Office programs.
- Report any irregular software or hardware behavior to M.I.S..

Computer Viruses
- All files on Chaminade’s computer networks are property of Chaminade.
- All files stored on network drives are accessible to network administrators.
- All users have been assigned rights to access certain software and data files on the file servers according to their specific needs. Additional access must be requested and given at the discretion of the Network Manager.
- All files stored on private home folders on the network can be accessed only by the owner of the folders, users with appropriate rights to the folder, as well as the network administrators.
- Common folders are equally accessible to all users of the network.
- Beware that files stored in Common folders can be viewed, modified, renamed or deleted by any network user.
- Common folder files may be deleted periodically without warning.

- Internet access and email is used only for school related business.
- While on-line remember you represent Chaminade and adhere to the particular network's procedures and etiquette of appropriate net behavior.
- Each user’s Internet activity is logged and can be viewed if necessary.
- Filtering software is installed restricting access to inappropriate sites.
- Our filtering software can restrict or allow access to specific sites at your request.
- Never allow students to go to the Internet without teacher supervision.
- Report immediately any suspicious student activity to the deans.

- Do not propagate emails with big, graphics oriented attachments. Especially avoid sending this type of email to the Everyone group.
- If you need to have everybody access a specific file, put the file in a Common access directory and notify the people to go and view it.
- Do not use bandwidth intensive applications such as file downloads, MP3 music files, streaming video, etc., over the Internet during instructional hours.
- The software copyright policy of Chaminade College Preparatory is in accordance with Federal copyright laws. Chaminade may purchase a single-user license, a lab pack, a site-license, or a network version of software. Each type of license permits the user to copy the software according to the published documentation received with the software. It is Chaminade's policy to adhere to such copyright/licensing notice.
- Students are not permitted to (1) copy software from any computer, (2) bring software to school for any use, or (3) use personal data disks. Any activity requires prior teacher permission. Violation of this policy is considered a serious offense and should be reported to the deans.
- All software installed on school computers should be school property.
- Do not attempt to install software on your local drives without M.I.S. permission.
- All installed software need to be properly licensed.
- All software should be registered with the manufacturer under Chaminade’s name and a copy of the license agreement stored with M.I.S.
- Store all manuals and documentation related to your software in the original box and in close proximity to your computer equipment.
- All departments should keep an inventory list of curriculum software in their possession.
- Do not move hardware to a different location without first notifying M.I.S. personnel.
- Do not attempt to perform repairs or upgrades by yourself.
- Users who are in possession of notebook computers, digital cameras and other mobile technology units need to have signed a Check Out Form from M.I.S.
- Store all manuals and documentation related to your computer equipment in close proximity to the equipment.
- Always have a spare toner at hand. You may be able to print hundreds of pages more when the "Low Toner" message is displayed, by removing the toner and shaking it gently from side to side.
- Do not store laser toner cartridges for longer than six months. Return all used cartridges to M.I.S. for recycling.
- When changing printer toner, be careful not to spill the toner on the printer, your clothing, or the carpeting. Ask for M.I.S. assistance if necessary.
- Consult your department regarding lengthy print jobs. It may be preferable to schedule time consuming print jobs during the evening.
- When possible try to print on the high volume Konica copier/printers on site instead of your laser printer. They are substantially more economical and faster.
- Avoid unnecessary printing. Save energy and trees.

System Maintenance
- Periodically delete all files in the C:\WINDOWS\TEMP folder in order to clean all temporary files.
- Periodically run the Defragmentation utility that comes with all Windows 9x systems in order to speed up your system.
- Periodically virus check local drives C: and D:
- Periodically clean your private network folders by deleting old and useless files.
- Periodically delete old sent and received emails.
- Try to organize your files in subfolders in a logical and user friendly structure.
- Manage your workspace in the most ergonomic way possible. Avoid sitting very close to your monitor and adjust it to a comfortable viewing distance and height.
- Arrange the orientation of your monitor in order to avoid excessive glare.
- Position your chair to ensure that the keyboard is at the correct height in relationship to your elbows.
- Make certain you can use your mouse with ease.
- Report any physical discomfort to M.I.S. personnel.
- Keep your working environment clean and take care of your equipment. Do not allow food or drink to damage it.
- Periodically turn your keyboard over and shake out the dust, paper clips, etc.

- All computer equipment must be connected to a surge protector (power strip) rather than directly to an outlet.
- Turn on/off all computer equipment, except inkjet printers, from the surge protector and not the equipment's switch.
- Turn only inkjet printers on/off from their switch and not from the surge protector.
- In case of campus wide power failure, unplug all electronic equipment from the wall. Turn them back on only after electrical power has been restored. This procedure avoids equipment damage due to electrical surges occurring upon power restoration.
- Do not turn off your computer without first shutting down Windows the normal way.
- Turn off all computer equipment at the end of the day, except equipment located in areas of common use.
- Always be aware of the environmental impact of your computing actions.
- All files stored on the network are backed up nightly by M.I.S.
- Files stored on local drives (A:, C:, D:) are not backed up by M.I.S.. It is your responsibility to back it up. Consult with the M.I.S. personnel if you have any questions regarding back-up.
- All equipment will fail at some point and always be prepared for such situations. Assume it will happen!
Technology Purchases
- All technology related purchases need final approval from the Director of M.I.S.
- In order to assure the consistent application of the M.I.S. department technology vision, all faculty and staff are asked to consult with the campus MIS personnel regarding all technology purchases.
- All computer related consumables (toner, paper, diskettes, zip disks, etc.) need to be included in the individual department budget except for equipment located in areas of common use.
- All computer related equipment is covered by at least one year parts and labor under the manufacturer's warranty. All repairs beyond the warranty need to be budgeted by the individual department except for equipment located in areas of common use.
Other Policies
- All users (employees and students) should have signed the Appropriate Use Policy before they get granted any network access account.
- All users should be aware of the Web Authoring and Publishing Policy.
- All users should consult with the Web Submission Guidelines before submitting web content for publication.
- All users should be aware of the Minimum Computer Competency Requirements.
- The campus Network Manager and Technology Assistant are responsible for handling installations, upgrades, repairs and/or replacement of equipment.
- The campus principals and the HR department are responsible of informing MIS of employee changes.
- The campus Instructional Technology Coordinator is responsible for training the faculty, and facilitating usage of the computer labs and classroom workstations for the instructional use of technology within non-Computer Science disciplines.
